Booking & Payment

How do I book a transfer?

The quickest way is through the booking form at viptransfers.pl/en/booking — you'll get an instant quote. You can also call (+48 574 254 347) or email kontakt@viptransfers.pl.

How far in advance should I book?

The earlier the better — it ensures we assign exactly the vehicle and chauffeur you expect. Online bookings require at least 6 hours' notice, but if the situation calls for it, give us a call — we can arrange a transfer as little as one hour before departure.

What payment methods do you accept?

Credit/debit card online at booking (no surcharge), cash, card in the vehicle, or bank transfer after the service. VAT invoices are issued on request.

Is the quoted price final?

Yes. The price confirmed at booking is binding and does not change unless you modify the route or add extra stops.

What does the transfer price include?

Passenger insurance, English-speaking chauffeur, in-car Wi-Fi, bottled water, vehicle hire and fuel. Parking fees, motorway tolls and gratuity (optional 10%) are not included.

Can I book multiple vehicles at once?

Yes. In the booking form you can add additional vehicles — each with its own route, pickup time and car type. You'll receive a single confirmation covering all rides.

Can I plan multiple stops in one booking?

Yes. We handle multi-stop itineraries — provide all points when booking or arrange them with our concierge by phone.

Airport Transfers

Does the driver wait if my flight is delayed?

Yes. We monitor your flight status in real time and automatically adjust the pickup time to match the actual landing. There is no extra charge for this.

Where will I meet the driver at the airport?

The driver waits in the arrivals hall holding a name board with your name (or company logo). After landing you'll receive an SMS with the exact location and driver contact.

Do you offer VIP Terminal / General Aviation pickup?

Yes. At selected airports (including Krakow KRK, Warsaw WAW) we offer VIP Terminal service — you can add this as an extra when booking.

Do you serve airports outside Poland?

Yes. We operate transfers to and from European airports including Berlin (BER), Prague (PRG), Vienna (VIE), Bratislava (BTS), Munich (MUC), Amsterdam (AMS), Zurich (ZRH) and Budapest (BUD).

Does the transfer also cover hotel-to-airport pickup?

Yes. Transfers work both ways — airport to hotel and hotel to airport. For hotel pickups the driver waits at the entrance at the agreed time.

What if I have a lot of luggage?

Specify the number of suitcases and any special items (skis, pushchair, golf equipment) when booking. We'll match the right vehicle. The Mercedes V-Class accommodates up to 6 passengers with full luggage.

Fleet & Comfort

What cars are in your fleet?

Mercedes S-Class Long, Mercedes V-Class Exclusive Extra Long, Mercedes E-Class, Range Rover Vogue and Škoda Superb L&K. All vehicles are black, fully insured and equipped with Wi-Fi, multi-zone climate control and bottled water.

Can I choose a specific car?

Yes. When booking online you select the vehicle class and model. We reserve the right to substitute an equivalent or higher-class model if operationally necessary.

How many passengers can fit in one car?

Sedans (S-Class, E-Class, Superb) — up to 3 passengers. Van (V-Class Extra Long) — up to 6 passengers in conference seating. Range Rover — up to 3 passengers.

Do you provide child seats?

Yes. We provide a child seat on request — specify the child's age when booking and we'll prepare the appropriate type. This is a complimentary extra.

Is smoking allowed in the vehicles?

No. Smoking is strictly prohibited in all vehicles. Violation of this policy results in a PLN 2,000 net penalty.

Service & Chauffeur

Does the driver speak English?

Yes. All our chauffeurs speak English. Communication is in Polish or English according to client preference.

Do you offer full-day chauffeur hire?

Yes. We offer two models: transfer (point-to-point) and hourly hire (chauffeur at your disposal for the entire day with a 20 km/h allowance). Ideal for roadshows, business delegations and events.

Will the driver help with luggage?

Yes. The chauffeur loads and unloads luggage, opens doors and assists with boarding. This is part of our standard service.

Do you handle events, weddings and galas?

Yes. We organise event transport — from a single ride to fleet coordination for an entire guest group. Vehicle decoration is available on request.

Can I arrange transport for a large group?

Yes. For multi-vehicle bookings or large groups, contact us directly and we'll prepare a bespoke quote with full logistical coordination.

Changes & Cancellations

Can I change the date or time after booking?

Yes. Notify us by email (kontakt@viptransfers.pl) or phone. For short-term transfers, changes at no extra charge are accepted up to 24 hours before departure.

What is your cancellation policy?

Cancellation terms depend on the service type. Standard transfers (up to 150 km): full refund 12+ hours before pickup, 50% refund 4-12 hours, no refund under 4 hours. Long-distance, hourly and premium services have different tiers. Full details at viptransfers.pl/en/cancellation-policy.

What happens in case of a no-show?

No refund is given for a no-show. We always attempt to contact the passenger by phone before recording a no-show.

Can I change the route during the ride?

Yes. Route changes are possible during the ride — they may incur an additional cost per our published rates, and you'll be informed before the change is made.
